Role Description
Match day roles are specified in the South East Region Junior Competition By-Laws:
From Version 2026 1.03:
16.4. Team Manager
(a) Prior to the commencement of each season each Team Manager must be registered with the League through the Competition Management System with their WWC documentation uploaded.
(b) Team Managers must wear an official uniform as determined by the League as described in the Junior League’s Style Guide.
(c) Although the responsibility of the Team Manager will vary from Club to Club, in general, this position is responsible to see that all activities or League Rules associated with the actual playing of the game (other than coaching) are carried out or adhered to.
(d) It shall be the responsibility of the Team Manager to ensure that all Players & Officials who take part in the match for their Club are registered.
(e) Exchanging, submitting and retaining copies of team sheets
- i) Team sheets are exchanged with the opposition at halftime
- ii) Team sheets must be provided to the umpires in the umpires room within 10-minutes of the conclusion of the match (both Team Managers must go to the umpires room together)
(f) When the Team Managers provides the team sheet to the umpires post-match,
they must receive the all clear regarding if any reports are being laid from the match
- i) If a Player or Official is reported on Match Day, it is the Team Manager’s responsibility to inform the Club Secretary after the match. This includes providing the Club copy of the Player/Official report to the Club Secretary.
(g) Providing assurance over lodgment of scores and details in league scoring system.
(h) Scoring of matches U8-U10 and recording those team results in the Competition Management System ONLY (individual goal kickers are not to be recorded) for grading purposes.

Communication is key to a smooth flowing Club and Community so please get involved.
Child Safety
- Child Safety Hub on our website {click here}. Please be familiar with that pre and during season.
- Important for TMs: Everyone that dons a vest, must have submitted WWC (if 18+, some roles can be younger)
- Please come to us with ANY child safety concerns. It will be anonymous. We need issues to be brought to our attention even if a formal complaint isn’t going to be filed. We want to be able to fix situations before they get out of control.
League & Club Protocols
- Player Registration – do not play an unregistered player in any age group. If struggling to add a player to the team sheet, please contact Registrar before hand-writing it on the team sheet.
- Photographing children – There are children that do not want to be photographed. Registrar will advise those teams prior to Rd1. TM’s role to ask prior permission from the opposition TM to take photos. Any “team photographer” to be registered as a volunteer so we have their WWC.
- IF IN DOUBT=SIT THEM OUT. Players that have suffered a concussion or is suspected of having a concussion, must be medically assessed ASAP after the injury and must NOT be allowed to return in the same match or training session. Return to play after a concussion can be no sooner than 21 days after the event (where day 0 is the date of the concussion). Coach & First Aid Volunteers
Some essentials to start with volunteering:
- Prior to the season ensure your Coaches have completed accreditation or are close to completion and will be so by season start
- 100% adherence to this is required.
- You will need one designated “Lead” First Aid Officer, however a few are recommended. Please make sure this is done by season start, First Aid training sessions are organised by the club in season (typically April) for those who wish to attend.
- First Aid officers need to be registered on PlayHQ and also to join the First Aiders Chat on WhatsApp.
Volunteering
- Footy is the biggest all-hands on deck sport
- Depending on your age group, every week you will need someone on oranges, goal umpire, ground umpire, runner, water-carrier, ground marshall, time-keeper. An example roster is available here: {link}
- There is also a club volunteer register that is overseen by club Secretary. Under stricter Club Policy, volunteering is mandatory for presentation / trophies. There are 270 shifts. That’s only 7 per team! It covers:
- Venue Management (game day)
- Venue Management (social event)
- Bar service (RSA certificate)
- Working Bees
- Specialist Skills
Clubroom Usage
- There is the ability to request Clubroom bookings via the committee. Generally, will be at squad / age cohort. E.g.
- Film work for older age groups
- Strengthening and conditioning for older age groups
- Games Nights
- Pie / Schnitz / Zambrero / Famished Wolf Nights
- Movie Nights
- Container Deposit Scheme – please use correct bins
- Access Codes – these will need to be obtained from the committee
- Cleaning Bonds – cleanup is mandatory after usage, any excess cleaning required will be charged to the team

Typical activities in the season and key dates:
- End of March – All pre-season training moves to Emil Madsen
- Early April – Season Launch / Family Day
- Meet the coaches for U8s, Concussion presentation, Mouth guard fitting, Venue Management training
- 1 x Social event per month e.g. Super Sunday (food and drinks at the club after match day)
- Ladies Night in May
- Team trips to Redlegs seniors + Frankston VFL
- Half-time matches for younger sides. Under-lights opportunities
- Special Rounds – Anzac, Mothers Day, Freeze MND, Bella, Reconciliation
- Mid June – Photos
- Mid August – U8/9/10 Round Robin and Medal Presentation
- Late August – Presentation Nights
Awards & Voting
- Voting is via a Best & Fairest Webform link with information on how to cast votes each week.
- Season awards will be for U11 and up ONLY – referred to as competitive age groups. U8/U9/U10 all get participation medals.
- Top 3 in B&F vote count, Coach’s Award, Most Improved – Based on home & away season ONLY (does not include finals)
- After last Home and Away round, TM coordinates coach and assistant to nominate via webform Coach’s Award & Most Improved
B&F Votes need to be in the day of the match
Player of Week Vouchers
- 2 – 3 per week U8s
- 3 – 4 per week U9 and 10s
- 4 per week U11 up
- Only give out canteen vouchers at home games, and no more than 1 of these per week. One also goes to the opposition TM before the game.
- You will be receiving approximately half a season’s worth in kit.
- Re-stocking (if required) occurs at our mid-season catch-up….. Areas for improvement will be discussed, re-stock of equip / forms etc.
- If anyone needs urgent replacement of equipment, please contact the committee.
